Administrative Secretary Kinshasa


Job Purpose 

  • The main objective of this position is to provide efficient and effective administrative solutions, organizational and logistical service to KINSHASA REGION, helping the Region to be well managed and prioritized major tasks. 

Job Description 

  • Ensure busy diary commitments, papers, and travel arrangements are managed effectively including producing a daily folder with diary, necessary papers, etc. and troubleshooting problems;
  • Assist to better conduct weekly Regional meetings and discuss upcoming engagements, invitations and other requests;
  • Schedule on behalf of Head of Region, Kinshasa Region Meetings, sometimes with ME Regions and/or with different actors; 
  • Prepare Business trip requirements in connection with others and ensure arrangements in place;
  • Keep and maintain an accurate record of papers and electronic correspondence on behalf of HOR;
  • Prepare Regional data for presentation to the ME Regions;
  • Daily preparation of BTS not performing well and information on the table of SEHOR (Senior Executive Head of Region);
  • Monthly letter to be sent to each Pool Manager giving performance against target;
  • Quick written comment on weekly performance discussed with each Subordinate;
  • Ensure availability of office furniture and of Pool Mobility;
  • Follow up of all Requisitions and clean-up of  all outstanding issues;
  • Better interactions with Personal Assistant of ME Regions, HRBP and other department for effective Management;
  • Maintain a comprehensive filing system;
  • Tabulate, process and retrieve Regional  official expenditures and expense claims;
  • Maintain confidentiality of verbal & documented information.

Minimum Requirements

  • Experience of successfully working with Senior Management ;
  • Secretarial Diploma would be an advantage;
  • Computer skills: must be proficient with the keyboard and IT applications;
  • Excellent organizational skills, ability to multi-task and organize others;
  • Ability to work under pressure and be flexible as part of a team;
  • Ability to filter information and assess priorities; 
  • Excellent oral and written communication skills in both French and English;
  • Confident and able to work on own initiative and with limited supervision.
